The purpose of a release letter is to tell or declare that an employee is being relieved of his or her duties. 

The release letters might be prepared when the employee's contract has expired or for any other cause.

How to write a letter of release 

1. Your Letter's Format

Create a common business letter format. Choose a typeface that is easy to read. In the event of a professional letter, Times New Roman or Ariel with font size 12 is ideal.

2. Release Specifications

You must provide information on the employee's release in the format that you have created. You must explain why the employee was let go as well as the job he or she did while working for the organisation.

3. Maintaining the Tone is the third step.

The tone of the release letter should be maintained. When discussing your employee's termination, remain formal and professional.

If you're releasing an employee because their contract has expired, no issue; but, if the release is due to a contract cancellation or termination, don't be snarky or nasty in your tone. Maintain a regular demeanour.

Writing Guidelines for Release Letters

  1. The cause for the employee's release must be stated explicitly in the letter.
  2. The letter must also mention that all of the employee's official possessions must be returned to the office.
  3. Before discharging the employee, the last paragraph must explicitly declare that all of the employee's debts must be paid.
  4. The letter must be written in a serious tone and use official language.
  5. Include phrases such, as "Please convey knowledge with necessary papers to Mr./Ms. ____, with a copy to Mr./Ms. ___ or undersigned."
  6. According to the job terms and conditions, you may add any other provision.

4. How to write release letter to university sample
