What is a letter of full and final settlement?

The departing employee receives a complete and final settlement letter from the company confirming that all outstanding payments have been settled and that no further payments are owed.

It indicates that the employee receives a cheque for the same amount and contains all the information about the amounts due and paid to them.

If there is ever a pay issue with former workers, a complete and final settlement letter might be employed.

Final and Complete Settlement Procedure:

Complete and final settlement is not a one-step procedure; rather, it involves many processes that take a long time to complete. The stages involved in a final and comprehensive settlement are as follows:

1. Application for Resignation or Termination.

An employee's application for resignation or notification of their termination marks the beginning of this procedure.

In both situations, a letter of resignation or termination is written and submitted for approval to the subordinate or the HR division.

2. The letter of acceptance of resignation.

The HR department or subordinator must determine whether to accept a resignation once an employee turns in their letter of resignation.

If they do, they must then draft an acceptance letter and mail it to the employee.

3. HR Department verification.

Upon receipt of the resignation acceptance letter, the employee's departure is verified, and the verification procedure begins with obtaining the previously stated clearances.

These clearances must be obtained by the employee and sent to HR for validation.

4. Compute the Final Payroll

HR verifies the employee's outstanding income, leave balance, gratuity, bonuses, and other benefits when the verification is completed.

To get the total amount owed to the employee, add up the two and compute it.

5. Preparing the Settlement Agreement

After confirming all the information and obtaining the total amount owed to the employee, the HR department prepares the statement of agreement.

All of the payroll-related computations for the employee should be included in the settlement agreement.

6. Send out the cheque.

After it is completed, the settlement agreement is sent to the accounts or finance departments for further handling.

During that procedure, the employee will get a copy of the complete and final statement from the accounting department along with a check for the amount specified in the settlement agreement.
